Tasks for the Conferences Department

๐Ÿ“‘ Assisting the Sales Manager with conferences/events bid production

๐Ÿ—“๏ธ Assisting Project Managers in coordinating all assigned virtual, hybrid and live conferences/events

๐Ÿจ Accommodation and venue management

๐ŸŽง AV and catering coordination

๐ŸšŒ Transport and travel management

๐ŸŽญ Social programme creation and coordination for confirmed conferences

๐Ÿ–ฅ๏ธ Online registration and abstract submission

๐Ÿ“ฐ Creating ezines, flyers and programmes, and helping update conference websites and databases

โœ‰๏ธ Delegate services โ€” correspondence with delegates, speakers, sponsors and suppliers, issuing invoices, visa letters and more

๐Ÿ“ Onsite management โ€” being the representative on site during the operation of the conference or event

๐Ÿ’ถ Financial and credit control over assigned conferences (sending payment chasers and allocating payments in the conference system)

๐Ÿข Covering front office reception as assigned

๐ŸŒฑ Assisting the Abbey Group with its environmental and responsible tourism initiatives

Flexibility is required, as the role may also extend to support any of the company's other departments when needed.



Skills & Requirements

๐Ÿ—ฃ๏ธ Fluency in English

โŒจ๏ธ Good basic keyboard skills and proficiency in Microsoft Office

๐Ÿงญ Good communication and organisational skills

๐ŸŽ“ Students must be affiliated with a college/educational institution/Erasmus/Leonardo da Vinci etc., or the internship must be part of their studies

The Details
