Tasks for the Conferences Department
๐ Assisting the Sales Manager with conferences/events bid production
๐๏ธ Assisting Project Managers in coordinating all assigned virtual, hybrid and live conferences/events
๐จ Accommodation and venue management
๐ง AV and catering coordination
๐ Transport and travel management
๐ญ Social programme creation and coordination for confirmed conferences
๐ฅ๏ธ Online registration and abstract submission
๐ฐ Creating ezines, flyers and programmes, and helping update conference websites and databases
โ๏ธ Delegate services โ correspondence with delegates, speakers, sponsors and suppliers, issuing invoices, visa letters and more
๐ Onsite management โ being the representative on site during the operation of the conference or event
๐ถ Financial and credit control over assigned conferences (sending payment chasers and allocating payments in the conference system)
๐ข Covering front office reception as assigned
๐ฑ Assisting the Abbey Group with its environmental and responsible tourism initiatives
Flexibility is required, as the role may also extend to support any of the company's other departments when needed.
Skills & Requirements
๐ฃ๏ธ Fluency in English
โจ๏ธ Good basic keyboard skills and proficiency in Microsoft Office
๐งญ Good communication and organisational skills
๐ Students must be affiliated with a college/educational institution/Erasmus/Leonardo da Vinci etc., or the internship must be part of their studies
