PRO – Project Readiness for Erasmus+ Organisations is a 6-day residential training course in Kopparberg, Sweden, designed specifically for new NGO leaders, managers, and project coordinators who want to design, implement, and close high-quality Erasmus+ KA1 projects. Organised by Awesome People — a Swedish youth NGO with over 10 years of Erasmus+ experience — the course is built around the Erasmus+ KA1 Playbook: a practical guide packed with real examples, templates, and checklists. No participation fee. Accommodation, food, and travel reimbursed through Erasmus+. Deadline: 30 March 2026.
🇸🇪 Did You Know? Kopparberg is a small village in Örebro County, Sweden — located 219 km west of Stockholm and about one hour from Örebro, the sixth largest city in Sweden. It is best known internationally as the home of Kopparbergs Brewery, one of Scandinavia’s most recognised cider producers. The village sits in a serene Swedish landscape of forests and lakes — exactly the kind of quiet, focused environment that makes for a deeply productive residential training experience.
What Will You Do?
📋Explore the full lifecycle of Erasmus+ KA1 projects — from identifying needs and designing strong project ideas all the way through to evaluation, reporting, and impact documentation
🤝Learn partnership management strategies — how to coordinate with sending and hosting organisations, communicate effectively, and maintain project quality across borders
💰Work through budgeting and financial management — understanding how Erasmus+ project finances are structured, tracked, and reported
📖Work hands-on with the Erasmus+ KA1 Playbook — a practical guide developed by Awesome People packed with real examples, templates, and checklists tested across dozens of real projects
🛠️Develop your own Erasmus+ project structure during the training — step-by-step practical exercises where you build a real coordination framework tailored to your organisation
🌍Exchange practices and experiences with youth workers and coordinators from across Europe — building connections and peer learning that extend far beyond the training week itself
🎉Participate in an intercultural evening — bringing drinks and snacks representative of your country and connecting informally with the international group
📣After the training, organise a dissemination event in your local community within one month — sharing strategies and tools with local NGOs and youth workers as part of your commitment
💡 Did You Know? The Erasmus+ KA1 Playbook — the central resource used in this training — was developed by Awesome People through more than 10 years of hands-on experience coordinating Erasmus+ youth exchanges and training courses. It was created as part of a KA2 Small-Scale Partnership with Projekta Malta, and this training is one of the first opportunities for youth workers from across Europe to test and work with the guide directly. Participants leave with a personal copy — full of templates, checklists, and practical examples.
Who Can Apply?
🏛️New NGO leaders, managers, or project coordinators who are responsible for — or planning to take responsibility for — Erasmus+ KA1 projects in their organisation
🎯Experienced coordinators who are looking for fresh inspiration, new structures, and practical tools to improve the quality of their existing Erasmus+ project management
💡Participants who are motivated to actively engage in hands-on, practical sessions — this is not a lecture-based course; it requires active participation and real work during the training week
📣Participants who are committed to organising a dissemination event in their local community within one month of returning — sharing the knowledge and tools with other youth workers is a mandatory part of the participation commitment
🎂You are at least 18 years old — each partner organisation can send a maximum of 3 people, and gender balance among participants is expected
💻Bring your laptop if possible — digital tools will be used during coordination strategy sessions and having your own device will enhance your experience significantly
Accommodation & Venue
🏠Awesome People House, Laxbrogatan 24, Kopparberg — just 5 minutes’ walk from the village centre. Shared bedrooms (3–4 people, mixed nationality, not gender-separated), shared bathrooms with showers. Bed linen provided — bring your own towel. WiFi available throughout
🍽️Breakfast, lunch, dinner, and Swedish coffee breaks (FIKA) all served in the house — fully covered by the Erasmus+ programme. All dietary requirements accommodated on request. An intercultural evening will be organised — bring drinks and snacks from your country
🏪Kopparberg village centre has shops, a supermarket, a pharmacy, and an ATM — all within 5 minutes’ walk. Sweden is largely cashless — card payments accepted everywhere
🌡️Weather in Sweden in May is typically +10 to +16°C — pack layers. Updates will be shared closer to arrival via the WhatsApp group
Travel Information
✈️Best route: fly to Stockholm Arlanda Airport, then take the train to Kopparberg C (3.5–4.5 hours, approximately €40–50). Check timetables at sj.se — search Arlanda C to Kopparberg C. The entrance to the train station is in Sky City at Arlanda airport
🌿Green Travel is strongly encouraged — using more than 50% of your journey by bus or train (not plane) qualifies you for a higher travel budget and two additional travel days. A great incentive to travel sustainably
🚂Awesome People will meet you at Kopparberg Central Station and take you to the house — send your arrival time to erasmus@awesomepeople.org by 11 May at the latest
⚠️Arrive no later than 7 pm on 13 May — tickets for late arrivals will not be reimbursed. Departure is before 11:00 on 20 May. Do not purchase tickets without confirming with the coordinator first
🛡️Valid travel and medical insurance (including European Health Insurance Card) is mandatory — the host organisation does not cover personal health costs or additional travel costs
Costs & Travel Reimbursement
💰No participation fee — the training is fully funded through the Erasmus+ programme
🏠Accommodation and food 100% covered by Erasmus+ for the full duration of the training
✈️Travel costs reimbursed based on Erasmus+ distance bands — calculated from your sending organisation’s city to Kopparberg using the official Erasmus+ Distance Calculator. Costs exceeding the maximum reimbursable amount will not be covered
📋Reimbursement is made by bank transfer after dissemination activities are completed — within one month of the training, upon submission of original tickets, invoices, boarding passes, testimonial report, and dissemination report
🎓Youthpass certificate issued upon completion — official recognition of competence development during the activity
After the Training — What’s Expected
📣Within one month of returning home, organise a dissemination event for local NGOs and youth workers — sharing strategies and tools learned during the training week with your local community
✍️Write a personal testimonial report about your experience and a short report on your dissemination activities — both required for travel reimbursement processing
📤Upload all original travel documents to the project’s Google Drive or AI tool (link provided after selection), and complete the internal evaluation form at the end of the training week
